Gmail integration

Email that files itself

Connect Gmail once and ainocrm watches for anything deal-relevant. A negotiation reply becomes a logged interaction on the right opportunity within seconds — nothing to forward, nothing to log. Not on Gmail? BCC or forward to a log address from any mail app.

Re: Renewal terms

We can do €48k for two years if support is included. Can you send the updated order form by Friday?

Connect once

Connect your mailbox from Settings › Integrations. It's a separate step from signing in, so logging in with Google never hands over your mail. ainocrm asks only for read access to Gmail — it never sends, moves, labels or deletes mail. Disconnect at any time from the same place; it does not affect your Google account.

Step by step

What happens when mail arrives

  1. 1

    It is picked up

New mail is picked up automatically, usually within seconds.
  2. 2

    It is checked for relevance

Each message is checked for CRM-relevant content. Newsletters, notifications and anything that is not clearly about a deal are ignored — they are never stored.
  3. 3

    The people are recognized

The people on the email are recognized by address first: a contact's primary or other email addresses, or an account's email domain for someone who isn't a contact yet. A signature saying "Bob" can't be mistaken for another Bob, and when a known contact writes from a new address under their own name, ainocrm remembers it.
  4. 4

It is filed on the deal

A relevant email goes through exactly the same pipeline as a chat message: ainocrm works out which account, contact and deal it concerns (creating them if they are new), and files it as an interaction against that deal.
  5. 5

    The stage follows your playbook

If the email implies a stage move that your playbook allows and the gates are met, the deal moves. If a gate is unmet, it stays put and you get a notification explaining what is missing. If the email fills in the last missing gate, the deal moves on its own.
  6. 6

Blanks are filled, nothing is overwritten

Amounts and close dates mentioned in the email fill in what is still empty on the deal. They never overwrite a value that is already there.

Afterwards

You always see what an email changed

It tells you what it did

Nothing an email changes happens quietly. The email is logged on the deal's timeline with a summary, and the owner gets a notification for anything that mattered: a new opportunity, a stage move, a deal closed, or a move that is waiting on something. If ainocrm can't tell which customer an email is about, it files nothing rather than guess. And if it got something wrong, one sentence in chat — "move it back" — puts it right.

Promises become tasks

"I'll send the updated order form by Friday" becomes a follow-up task on the deal, due Friday. When a later email or call shows it was done, the task closes itself. A next meeting agreed in the thread lands on the deal as well.

What lands in your inbox

Filed emails surface as updates on the deal and in the rep's ainocrm Inbox — "new opportunity from email", "moved to Proposal", "closed — won" — alongside due tasks and fresh account research. Leaders see the opportunities and the pipeline it updates; the mailbox itself stays private to its owner.

Any mail app

The log address

Teams that aren't on Gmail, or reps who would rather choose what gets logged, use a shared log address instead. BCC it on a customer email, forward a thread to it (add a line on top saying which customer, if it isn't obvious), or forward the summary your meeting notetaker sent — that one is logged as a meeting, with its next steps as tasks. ainocrm only accepts mail from your own sign-in address, and answers with a notification in the app rather than an email back.

Re: Renewal terms

Hi Dana — €48k for two years works, support included. The updated order form follows by Friday.

Privacy, briefly

Only messages the model judges deal-relevant are stored, and only the parts needed to log the interaction. Message ids are recorded so nothing is processed twice. Read the privacy policy for the full picture, including how Google user data is handled under Google's API Services User Data Policy.
